Cancellation Policy

At Eagle Soul Adventure, we understand that travel plans may change. The following cancellation terms apply to this Kilimanjaro trekking and East Africa luxury safari experience:

1. Standard Cancellation Terms

  • More than 90 days before departure:
    Full refund minus a non-refundable deposit of 25% of the total safari cost.
  • 89–60 days before departure:
    50% of the total safari cost refundable.
  • 59–30 days before departure:
    25% of the total safari cost refundable.
  • 29–15 days before departure:
    10% of the total safari cost refundable.
  • Less than 14 days before departure:
    No refund; 100% of the safari cost is forfeited.

2. Kilimanjaro Park Fees & Trekking Logistics

All Kilimanjaro National Park fees, camping or hut fees, rescue fees, and trekking crew arrangements are non-refundable once confirmed.

These costs are included in the total safari price and will be deducted from any refundable amount in the event of cancellation.

3. Flights, Balloon Safaris & Third-Party Services

All domestic flights, charter services, balloon safaris, and third-party lodge bookings are subject to individual supplier cancellation policies.

Refunds (if applicable) will depend on the terms and conditions of each provider and may be partially or fully non-refundable.

4. Force Majeure / Unforeseen Circumstances

In the event of circumstances beyond our control, including but not limited to:

  • Natural disasters
  • Political unrest
  • Government travel restrictions
  • Epidemics or pandemics
  • Extreme weather conditions

Eagle Soul Adventure reserves the right to modify, reschedule, or reroute the itinerary to ensure guest safety and continuity of the experience.

If cancellation becomes unavoidable due to such events, clients will receive a full credit toward a future safari (excluding non-refundable park fees, flights, and third-party services).

5. Itinerary Modifications

Requests to change travel dates, accommodations, or itinerary components must be submitted in writing.

All modifications are:

  • May include supplier or administrative fees

6. No-Show Policy

Failure to arrive on the confirmed safari start date without prior written notice will be considered a no-show, resulting in 100% forfeiture of the total safari cost.

At Eagle Soul Adventure, all safari and trekking experiences take place in natural, unfenced environments where wildlife moves freely. Sightings of specific animals—including the Big Five and Great Migration crossings cannot be guaranteed, as wildlife behavior is unpredictable and influenced by seasonal and environmental conditions.

2. Health, Fitness & Kilimanjaro Trek Requirements

At Eagle Soul Adventure, guests are responsible for ensuring they are physically and medically fit to participate in all activities, particularly the Mount Kilimanjaro trek (Marangu Route), which involves high-altitude hiking, steep terrain, and varying weather conditions.

Guests must:

  • Be in good physical condition suitable for multi-day trekking
  • Seek medical advice prior to travel, especially regarding altitude exposure
  • Obtain all required vaccinations, visas, and travel documentation

Eagle Soul Adventure is not liable for denied entry, health-related issues, or missed activities due to non-compliance with these requirements.

3. Travel Insurance Requirement

At Eagle Soul Adventure, comprehensive travel insurance is mandatory for all guests. Insurance must cover:

  • Medical emergencies and hospitalization
  • Emergency evacuation (including high-altitude rescue for Kilimanjaro)
  • Trip cancellation or interruption
  • Loss or damage of personal belongings

Failure to obtain adequate insurance is entirely at the guest’s own risk.

4. Weather & Itinerary Adjustments

At Eagle Soul Adventure, we reserve the right to modify or adjust the itinerary due to factors beyond our control, including:

  • Weather conditions (especially on Kilimanjaro and in remote safari regions)
  • Flight or transport delays
  • Road accessibility
  • Park regulations and conservation requirements
  • Safety considerations

All adjustments will be made in the best interest of guest safety and overall safari experience.

5. Personal Belongings & Valuables

At Eagle Soul Adventure, guests are fully responsible for their personal belongings, including travel documents, cash, cameras, and electronic devices.

We are not liable for loss, theft, or damage during the safari or trek. Guests are advised to use lodge safes and take necessary precautions at all times.

6. Liability Limitation

At Eagle Soul Adventure, our liability is limited to services directly under our control. We are not responsible for injury, illness, loss, damage, delay, or inconvenience caused by:

  • Third-party service providers (lodges, airlines, transport companies)
  • Natural events or environmental conditions
  • Circumstances beyond our reasonable control

Liability applies only where proven negligence by Eagle Soul Adventure is established.

7. Photography & Media Usage

At Eagle Soul Adventure, photographs and videos taken during the safari or trek may be used for marketing and promotional purposes.

Guests who prefer not to appear in such materials must submit a written objection prior to travel.
