At Eagle Soul Adventure, every VIP journey is meticulously designed to deliver exceptional comfort, privacy, and exclusivity. Because this itinerary involves private flights, high-end lodges, and presidential-level events that require advance commitments, the following cancellation terms apply:
Booking and Payment Terms
A non-refundable deposit of 30 percent of the total tour cost is required to secure your booking.
The remaining 70 percent must be paid no later than 60 days before the tour start date.
Reservations made within 60 days of departure require full payment at the time of booking.
Cancellation Charges
All cancellations must be submitted in writing. The following charges apply depending on when the cancellation is received:
• Cancellations made more than 60 days before departure will incur a charge of 30 percent of the total tour cost, equivalent to the non-refundable deposit.
• Cancellations made 45 to 59 days before departure will incur a charge of 50 percent of the total tour cost.
• Cancellations made 30 to 44 days before departure will incur a charge of 75 percent of the total tour cost.
• Cancellations made less than 30 days before departure, or failure to arrive for the tour, will incur a charge of 100 percent of the total tour cost.
These policies are necessary due to the exclusive nature of the services provided, including private charters, luxury accommodations, and special ceremonial arrangements that require advance payments.
Amendments and Date Changes
Date changes are subject to availability.
Any amendment requested less than 45 days before departure may result in additional charges imposed by lodges, airline partners, or service providers.
Only one date change is permitted per booking.
Refund Processing
Where a refund is applicable, it will be processed within 21 business days upon receipt of the written cancellation notice.
Any bank charges, transfer fees, or administrative costs will be deducted from the refund amount.
Cancellation by Eagle Soul Adventure
Eagle Soul Adventure reserves the right to cancel a tour if circumstances arise that are beyond our control. These may include natural events, security concerns, government directives, or any situation that compromises guest safety.
In such cases, guests will be offered either a full refund or the option to reschedule the trip at no additional cost.
Eagle Soul Adventure will not be responsible for any extra costs incurred by the guest, including international flights, visas, travel insurance, or personal expenses.
